Same format — what exists, what it does, who it's for, what it's actually useful for. No hype.

One important framing note before we start: Google's AI story is different from Anthropic's. Anthropic built standalone tools and added integrations. Google built integrations first and is now layering tools on top. If your team already runs on Gmail, Docs, Sheets, Drive, and Meet — most of this is already sitting in your account, waiting to be turned on.

Let's go through it.

THE GOOGLE ECOSYSTEM — TOOL BY TOOL

1. Gemini — The main AI assistant

Gemini is Google's equivalent of Claude or ChatGPT. You can chat with it, research topics, analyse documents, brainstorm, generate drafts, and run deep research. But what separates it from competitors is one thing: it has access to your Google account.

With a paid plan, Gemini can read your Gmail, Drive files, Docs, and Calendar to give you answers grounded in your actual work — not generic responses. Ask it "what did we agree on with that client in March?" and it searches your emails and files to answer.

Key capabilities:

  • Deep Research — autonomous multi-source web research that synthesises a structured report, not just a list of links

  • Gems — custom AI instructions you build once with your own documents, SOPs, or brand guides attached. Reuse them for any recurring task

  • 2 million token context window — enough to load an entire book, a full codebase, or years of correspondence in one session

  • Notebooks — recently launched. Personal knowledge bases that sync between Gemini and NotebookLM

Who it's for: Everyone. Starting point for Google users. Price: Free (limited) · Google AI Plus $7.99/mo · Google AI Pro $19.99/mo · Google AI Ultra $249.99/mo

Top use cases:

  • You need a briefing before a client meeting. Ask Gemini to pull everything from your Gmail and Drive related to that client — emails, proposals, meeting notes — and give you a two-minute summary.

  • You're entering a new market and need to understand the competitive landscape. Run Deep Research. Gemini searches the web, synthesises sources, and returns a structured report with citations.

  • You run similar projects repeatedly. Create a Gem with your methodology, templates, and brand voice attached. Every new project starts from there — no re-briefing the AI each time.

2. NotebookLM — AI grounded in your own documents

Google's most genuinely useful AI product for knowledge work. You upload your documents, and the AI only answers based on what's in them — with citations pointing to the exact source. No hallucination on content that matters.

Upload PDFs, Google Docs, Drive files, YouTube videos, web links, or EPUBs. Up to 50 sources per notebook.

What it produces from your sources:

  • Audio Overviews — two AI voices discuss your documents in podcast format. Useful for absorbing dense material on the go

  • Cinematic Video Overviews — animated deep-dive videos synthesised from your sources

  • Slide decks — generated from your material, exportable as PPTX

  • Infographics — ten visual styles including Professional, Bento Grid, Scientific, Sketch Note

  • Mind Maps — interactive visual maps of concepts across documents

  • Briefing documents, FAQs, study guides — one-click structured outputs

  • YouTube video links can be added as a source as well

  • Data Tables — extract structured data and export to Sheets

Notebooks now sync with the Gemini app — anything you add in one appears in the other automatically.

  • You're preparing for a board meeting. Upload six months of financial reports, previous board packs, and strategy documents into one notebook. Generate a briefing document. Walk in prepared, with talking points grounded in actual data.

  • You just received three competitor annual reports, each 200 pages. Load them into one notebook, ask NotebookLM to compare their strategic priorities and flag risks relevant to your business. Cited, sourced, done.

  • You have a backlog of customer interviews and feedback transcripts. Upload them. Ask what the recurring complaints are, what customers mention most positively, and what they say they're missing. Get themes with citations back to the exact interviews.

  • You have a dense legal contract to review before signing. Upload it. Ask NotebookLM to explain the key obligations, flag unusual clauses, and summarise the termination conditions. It cites the exact paragraphs.

  • You want to turn a dry 60-page report into something you can actually absorb. Generate an Audio Overview and listen to it on the way to work.

3. Gemini in Google Workspace — AI inside the tools you already use

Gmail · Docs · Sheets · Slides · Drive · Meet · Chat

This is Google's most significant structural move. In January 2025, Google stopped selling Gemini as an expensive add-on ($18/user/month) and folded it directly into every Business and Enterprise Workspace plan at roughly $2 more than the old plan without AI.

If your team is on Google Workspace, Gemini is probably already in your account. It lives as a sidebar in every major app — one click, full context from wherever you're working.

What it does, app by app:

Gmail — draft emails, summarise threads, AI Inbox surfaces daily priorities, AI Overviews answer questions about your inbox in plain English

Docs — generate first drafts from your files and emails, rewrite sections, add data-grounded infographics inline

Sheets — build spreadsheets from a natural language description, write formulas, create pivot tables, solve optimisation problems (budget allocation, scheduling) without specialist tools

Slides — generate full editable decks from a prompt using your company template

Drive — ask questions across all your files at once, AI Overviews surface answers without opening documents

Meet — automatic meeting notes, action item extraction, post-meeting summaries

Price: Included in Business Standard and above · AI Expanded Access add-on for higher limits (from March 2026)

Top use cases:

  • You get an email from an upset client. Ask Gemini to summarise the thread, tell you what they want, and draft a calm, professional response. Review and send.

  • Your Monday starts with 80 unread emails. AI Inbox surfaces the three that need your attention today and suggests what to do with the rest.

  • You need to build a financial tracker for a new project. Open Sheets, describe what you need in plain English. Gemini builds it with the right formulas, structure, and formatting.

  • You finish a client call and need to send a follow-up with action items. Gemini in Meet already captured the notes and extracted the action items during the call. Paste and send.

  • You need a proposal deck in your company's template. Describe the pitch in Slides, Gemini generates draft slides using your master layout and fonts. Edit from there.

4. Google Workspace Studio — Build your own automations, no code

Workspace Studio is Google's no-code agent builder — directly inside your Workspace account. You describe what you want to automate in plain English and Gemini creates a flow that runs automatically.

Unlike traditional automation tools (Zapier, Make), Studio agents can reason through content, not just follow rigid rules. They can read an email, decide whether it needs a response, extract the relevant details, draft something, and notify you — without you specifying every condition in advance.

Example flows you can build in minutes:

  • Every Friday, pull my project metrics from Sheets and send a summary to the team

  • When a new email arrives with an invoice attached, save it to the correct Drive folder and log it in my expenses Sheet

  • When a meeting is added to my calendar, send me a briefing with the attendees, agenda, and relevant files from Drive

  • When a customer submits a support request, classify it by urgency, draft a reply, and notify the responsible team member

  • Every Monday morning, scan my inbox for anything that requires a decision this week and send me a prioritised list

Workspace Studio connects to third-party tools including Asana, Jira, Mailchimp, Salesforce, and external APIs via webhooks. Agents can be shared across your team like Google Drive files.

Who it's for: Business owners, team leads, operations — anyone with a repetitive workflow they'd like to hand off. Price: Included with Business Standard and above · higher limits with AI Expanded Access add-on from June 2026

5. Google Vids — AI video creation for business

A newer addition to Workspace. Vids lets you create professional business videos — product explainers, internal communications, training content — without a production team or video editing skills. You work from a script or a Slides presentation, choose a custom avatar in your brand's colors and backdrop, and Gemini generates the video.

Avatars speak in 24 languages and maintain consistent appearance across generations. You can brand the avatar with your company logo. Over 7 million monthly active users as of April 2026.

Who it's for: Marketing, HR, internal communications, anyone producing regular video content. Price: Included with Workspace paid plans · branding features with Business Standard and above

Top use cases:

  • You need a product demo video but have no video team. Write a script, load it into Vids, choose an avatar, and generate. Export and share.

  • Your onboarding process involves the same explanation every time. Turn it into a Vids recording once. New hires watch it instead of scheduling a call.

  • You present at a conference and want to turn your slides into a video recap. Convert the deck to Vids, add an avatar narration, and post it to your internal team channel.

6. Google Flow

It's Google's AI video generation tool (distinct from Vids). You describe a scene in text and it generates cinematic video clips. Useful for marketers needing visual content without a production budget. It's included in Google AI Pro ($19.99/mo) with 1,000 monthly credits. For business newsletters, social content, or pitch material — relevant.
